Announce your Open Calendar

Happy 2024, royals! The beginning of a new year is the perfect time of the year to encourage your clients to book a party with you. It is very important that you have:

  • An attractive flyer that is easy to read

  • A convincing caption

  • Party booking form


Let's go over each of these elements together so that you can get your calendar filled up in no time!

An attractive flyer that is easy to read:

It's very important that when you're putting out an ad or post about your calendar being open, the flyer looks attractive and high quality (recommend Canva for designing it). For this exercise, I am using my own company flyer as an example and I want to go over key details that will ensure good feedback.

  1. Branding: your branding needs to be present! The logo must be very visible and colors must match so clients can easily recognize your company.

  2. Easy Title: keep the tittle as simple and easy to read as possible. Be mindful of the font and colors you use. I recommend keeping a lighter background with a vivid font color.

  3. Contact Info: Do your clients book parties on your site? Can they call you for questions? Write those down! Add to your flyer the contact methods you want your client to use when booking.

  4. Magical Pictures: a little hack I have found through the years is that clients love to see multiple characters in booking posts and flyers because they genuinely look magical together. Add a high quality group portrait or individual shots of characters like I did. Don't make it too cluttered and be mindful of the characters you are using. For example, Ariel and Belle are popular for my company and they grab my clients' attention so I put them there. Asha is our newest character so promoting her is key. Finally, Aurora matches our company's aesthetic and gives unity to the flyer. You can easily add 2 characters to your flyer; a character that books a lot and one you love or want to push forward.

A convincing caption:

Now that we have designed a magical flyer, you need an attractive post. Keep it short yet engaging! Start off with a question (Are you looking for a magical experience for your child's party?) or statement (Our 2024 calendar is open for bookings!).


Next, encourage clients to contact you today and give them an excuse to do so; booking in advance guarantees your favorite character is available, you offer high quality experiences, etc. Finally, close off with a company motto or catchphrase.


Be mindful that the wording you use is important to stand out. Instead of saying party all the time, switch off to celebration, magical gathering or event. Make clients feel like they are in the middle of the magic without even booking yet.


Party booking form:

The last thing you need to do is have your party booking form ready and know through where you're going to promote the flyer. Post it on your social media platforms, create a newsletter, run a Facebook or Google ad or even print and distribute the flyer. The important thing is to make the process as easy and amicable as possible for your clients. If they find the process to be tedious, they might leave so think diligently.
